General Information General Procedures Registration Procedures Medical Tutorials on a Voluntary Basis Student Responsibilities THE REGISTRATION PERIOD FOR FALL 2009 IS NOW OVER - THE PACKET WILL BE RE-POSTED IN THE SPRING INSTRUCTIONS & REQUIREMENTS FOR REGISTERING FOR MEDICAL TUTORIALS, 2009-2010
Semester Medical Tutorials are semester-long experiences for which students can earn two S/U credits. There are three broad categories of Medical Tutorials: (1) clinical practicum (“shadowing”), (2) basic laboratory research, and (3) clinical research. Here are some basic principles: - Sophomores, juniors, and seniors are eligible to participate in Semester Medical Tutorials. - While a student may participate in only one Semester Medical Tutorial per semester, students may participate in more than one Semester Medical Tutorial over the course of their time as undergraduates at Johns Hopkins. - A student can participate in both research sponsored through an academic department and a medical tutorial during the same semester. This may include research sponsored through an academic department and research through a Semester Medical Tutorial. - Students are allowed to register for six credits of research sponsored through an academic department over the course of the year. Students are allowed to register for up to four credits of Semester Medical Tutorials over the course of the year. Students should note that the academic year starts in the summer. Students may participate in both research sponsored through an academic department and a Semester Medical Tutorial but should carefully consult with an advisor about a potential overload. - Medical Tutorials are not considered independent work - they are two-credit courses. Students may participate in other non-graded independent work (e.g., research, independent study, taking a class S/U, etc.) but should carefully consult with an advisor about a potential overload.
It is the student’s responsibility to coordinate a Medical Tutorial with the physician preceptor (i.e., obtain the preceptor’s permission to participate in the tutorial and establish the time commitment and schedule for the tutorial). Students should follow this general procedure for coordinating their tutorials. • First, it is critical that you initiate contact with physician preceptors well in advance of the Medical Tutorial registration deadline. Read the Medical Tutorial listings carefully and determine which experience you are interested in pursuing.
• Contact the physician preceptor(s) via phone or email (depending on the physician’s preference, as indicated in the Medical Tutorial packet) to further discuss the tutorial. Explain to the physician that you are an undergraduate at Johns Hopkins who is considering attending medical school, and consequently, are interested in gaining further insight into the medical field. Prior to contacting the physician, determine what experiences you are seeking to gain from your tutorial, and be certain to ask the physician whether you will have opportunities to gain those experiences. For example, if you want to observe surgeries, ask whether you will have the opportunity to observe surgeries. Additionally, find out the physician’s expectations for your time commitment and schedule and ensure that you will be able to honor those obligations.
• If, after speaking with the physician preceptor, the tutorial does not sound like the kind of experience you are seeking, thank the physician for his/her time and advise him/her that you will not be able to participate. If you are still interested in participating in the tutorial, establish your start date with the physician and follow the registration procedures outlined below. **YOU MUST PROVIDE AN EMAIL OR OTHER DOCUMENTATION SHOWING THAT THE PHYSICIAN HAS GIVEN YOU PERMISSION TO ENROLL IN THE TUTORIAL** Complete the following and bring the items below to the Office of Pre-Professional Programs & Advising no later than the end of the Add period. 1. Fill out an Interdivisional Registration Form. If a student is enrolled in the Whiting School of Engineering, s/he must obtain her/his faculty advisor’s signature. **If you are overloading, you need to obtain the signature of your academic advisor directly on the Interdivisional registration form. Please note that you do not need an Add/Drop Form (orange half sheet).** • NOTE: If a student needs to get permission from the Office of Academic Advising for a credit overload in order to participate in a medical tutorial, this permission must be obtained well in advance of the registration deadline!
2. Complete the online Johns Hopkins HIPAA General Privacy Issues Course and the online Johns Hopkins Research Conflict of Interest and Commitment Course (see the Medical Tutorial Registration packet). Print out certificates of completion for these courses.*
3. Sign the Confidentiality Agreement for Tutorial Students (contained in the Medical Tutorial Registration packet).
4. Sign the Acknowledgement of HIPAA Security Awareness and Agreement to Comply (contained in the Medical Tutorial Registration packet).
Forms will not be accepted following the end of the Add Period without the prior permission of Dr. Verrier. * If a student has already completed the online courses for a prior experience with the University (e.g., a research or volunteer experience), s/he does not have to repeat the courses. However, unless the certificates of completion have already been filed with the Office of Pre-Professional Programs and Advising for a prior medical tutorial, the student must print additional copies of his certificates and submit them with his registration materials.
If a student is already doing non-graded research for credit during that semester and chooses to pursue a tutorial on a voluntary (i.e., non-credit) basis, the student is allowed to is allowed provided that the physician preceptor agrees. Students who pursue tutorials on a voluntary basis remain bound to the 75 hour time commitment. Students pursuing a Medical Tutorial on a voluntary basis must submit most of the paperwork as listed above (please note: you do not need to turn in the Interdivisional Registration form or the Add/Drop form) to the Office of Pre-Professional Programs and Advising.
• In general, students are expected to commit at least 75 hours to the tutorial over the course of the semester, unless their physician preceptors establish other guidelines for their time commitments. • Students must abide by any requirements established by their physician preceptors above and beyond the guidelines established by the Office of Pre-Professional Programs and Advising. • Students must coordinate their tutorials with their physician preceptors in a timely manner. • Students enrolling in a Medical Tutorial for credit must submit all of their registration paperwork to the Office of Pre-Professional Programs and Advising prior to the end of the Add Period. # • Students pursuing a Medical Tutorial on a voluntary basis must submit all of their registration paperwork to the Office of Pre-Professional Programs and Advising prior to the end of the registration Add Period. • Students must complete online HIPAA and Research Compliance training prior to the onset of the tutorial. Students will print out and retain copies of their certificates of completion for the courses. One copy of each certificate must be submitted to Dr. Verrier in the Office of Pre-Professional Programs and Advising. Additional copies must be submitted to the student’s physician preceptor. Students may be required by their physician preceptors to complete additional online courses (for example, courses dealing with the use of animals in research). • Students must sign and abide by the Johns Hopkins Confidentiality Agreement. • Students are representatives of the Johns Hopkins University and must behave accordingly at all times. • Students must arrange for their own transportation. • Students must dress in professional attire (unless wearing scrubs). • At the end of the tutorial, students must complete evaluation forms for the Office of Pre-Professional Programs and Advising . ABOVE ALL – DO NOT WAIT UNTIL THE LAST MINUTE!!! Students are bound by the rules and procedures contained within the Undergraduate Student Handbook, and ignorance of these policies will not excuse students from their responsibilities to abide by them. |
