Request for Submitting Committee Materials to Health Professions Schools

In order to complete the process of requesting your materials to be sent to medical and other health professions schools, you must:

  1. Email an electronic copy of the Master List of Schools to preprofessional@jhu.edu.  (This is the only item that is required to be sent electronically)
  2. Mail or deliver a paper copy of the Master List of Schools to Garland Hall. 
  3. Mail or deliver a paper copy of the AMCAS, AADSAS, or AACOMAS Application to 300 Garland Hall.
  4. Mail or deliver the AMCAS Letter Request Form to 300 Garland Hall.  We cannot submit your letters of recommendation without this form.
  5. Mail or deliver a signed paper copy of the AMCAS “Institutional Guidelines” for Johns Hopkins Students & Acknowledgement to 300 Garland Hall. 

Therefore, when you follow-up with the office you will be (1) emailing one item and (2) placing in the mail or delivering to the office four items.  We will not process and submit your Committee Letter and individual letters of recommendation until these steps are complete.

Committee Process
For students using the services of the Health Professions Committee, there is a flat $80.00 processing fee for first-time and reapplicants for us to send out recommendations to health professions school(s). THE $80 FEE IS PAID WHEN YOU HAND IN YOUR HEALTH PROFESSIONS COMMITTEE APPLICATION.

Credentials Service
For those individuals who do not use the committee process, we will act as a repository for recommendations.  There will be a $60.00 fee for this service and the mailing procedures are the same.  The fee must be paid before any mailing requests are completed.

Fees can be paid by cash, check, or money order.  Please note that we do not accept credit cards.

If you have any recommendations that you want Express Mailed, Federal Expressed, etc., you are responsible for obtaining the envelope(s) and paying the post office directly for postage.

If you request recommendations to be faxed, there is a $10.00 fee for each recommendation packet.
 
Virtual Evaluations System

Your committee letter and individual recommendations will be transmitted electronically, through a system called Virtual Evaluations - a secure web-based system for transmitting letters of evaluation to health professions schools. The Virtual Evaluations system will only allow us to upload once so you must confirm with the Administrative Coordinator for your section of the alphabet that all of your materials are in order.  Here is how the process works:

• You must submit the Master List of Medical Schools or the Master List of Health Professions Schools and have checked off each school to which you would like your committee letter and individual recommendation letters to be delivered.
• For schools not participating in the VE system, list the school on the form and provide the address for mailing.

AMCAS now accepts Letters of Evaluation/Recommendation for a select number of schools.  Since Johns Hopkins collects letters from letter writers and uses a letter service called VirtualEvals, you SHOULD NOT indicate names of individual letter writers in AMCAS.
• Enter this in AMCAS as a “Committee Letter”
• Enter "Dr. David Verrier" as the "Primary Author/Contact“
• Print the AMCAS Letter Request Form, and provide this form to the Administrative Coordinator for your section of the alphabet.  This form will facilitate fast matching to the application.
Therefore, the only name you should indicate is "Dr. David Verrier."

MD/PhD Applicants

If you are applying to MD/PhD programs, it is almost always the case that you will be evaluated by both the MD/PhD committee and the MD committee at each school. Thus, both offices need access to your letters, even if you are only applying to MD/PhD programs at a specific school.

At most schools, the MD office downloads all letters. If an applicant is applying to MD/PhD programs, the MD admissions office provides a copy of the letters to the MD/PhD admission committee.

Some MD/PhD programs, however, have asked to access VirtualEvals separately from their MD program and we have been happy to give them access. You will indicate these programs on the Master List of Medical Schools.  Here are some important guidelines:

• If you are applying to a program that downloads directly from VE, you must make sure to check the boxes on the Master List of Schools for BOTH the MD/PhD program AND the MD program.

Additional Letters Following the Initial Submission

If you receive additional recommendations, after your committee letter has been completed and uploaded, the additional letter will be sent as a supplemental letter through Virtual Evals.  Please note that we will only provide this service once for each applicant.
